Overview #
Email templates are used to define the messages LogiSense Billing sends for supported communication scenarios, such as invoicing, dunning, password workflows, customer-portal communication, and event-driven notifications.
These templates support dynamic variables so the email content can include live system data such as names, balances, dates, and other context-specific values. This allows a single template to be reused while still producing personalized email content.
Prerequisites #
Locales must already be configured in Owner Configuration before locale-specific email-template behavior can be fully maintained.
Email Templates Panel #
The Email Templates panel on the left lists the configured email templates. Select a template to view or edit its details in the panel on the right.

Edit Email Template Panel #
The Edit Email Template panel displays the configuration for the selected email template.
Core Fields #
- Name: Identifies the email template.
- Active: Determines whether the template is available for use.
- Template Type: Defines the type of process or communication scenario the template supports.
- Event: Defines the related event when the selected template type is event-based.
- Description: Stores an optional description of the template.
- Locale: Defines the primary locale used by the template.
- Subject: Defines the email subject line.
- From Name: Defines the display name shown as the sender.
- From Address: Defines the sender email address used by the template.
Template Types #
The Template Type field determines where the email template can be used. Common scenarios include:
- Customer Portal: Used for customer-portal related communication.
- Dunning: Used for collections and overdue-payment communication.
- Event: Used for system event notifications.
- Forgot Password: Used when a user requests password recovery.
- Invoice: Used when invoices are sent by email.
- Report Notification: Used for scheduled report notification emails.
- Reset Password: Used when a password-reset workflow is initiated.
When Event is selected as the template type, the Event field is used to identify the specific event that should trigger the template.
Body Tab #
The Body tab is used to define the content of the email message.
This area uses a rich-text editor, which allows administrators to format the message body rather than working with plain text only. For example, the email content can include styled text, paragraph formatting, and other visual formatting choices in addition to dynamic variables.
Administrators can use this tab to build the message body that recipients will see when the template is used. The available variables depend on the selected template type and context.
Locales Tab #
The Locales tab is used to define additional locale and currency-format combinations that the email template supports.
Use Add Locales to create additional locale entries. Existing locale entries can also be edited or removed from the list.
This is useful when a single email template needs to support more than one locale or currency presentation.
References Tab #
The References tab shows where the selected email template is currently being used. This is helpful when reviewing the effect of a change or determining whether the template can be deleted.
Guides #
Adding Email Templates #
- In the Email Templates panel, click Add.
- Enter the template details, including Name, Template Type, Locale, Subject, From Name, and From Address.
- If the template type is event-based, select the appropriate Event.
- Open the Body tab and enter the message content.
- If needed, configure additional locale support on the Locales tab.
- Click Save.
Editing Email Templates #
- In the Email Templates panel, select the template you want to update.
- Update the template details as needed.
- Revise the email content on the Body tab if required.
- Update locale entries if needed.
- Click Save.
Deleting Email Templates #
- In the Email Templates panel, select the template you want to delete.
- Review the References tab to confirm the template is not in use.
- Click Delete.
- In the confirmation dialog, click Yes.
