Overview #
Services are the individual billable elements that can be used when building product offerings. A service can represent a recurring subscription, a one-time fee, a usage-based charge, or another billable component that will later be included in a package.
This screen is used to define the billing, taxation, usage, and pricing behavior of those services. Depending on how a service is configured, it can support recurring pricing, usage billing, billing activation, share plan add-on behavior, usage buckets, and price-book-specific overrides.
Prerequisites #
- Service types should already be configured.
- Service statuses should already be configured.
- General ledger codes should already be configured if you want to assign a GL code to the service.
- Service tax categories should already be configured if tax handling will be maintained on the service.
- Usage buckets should already exist if you want to attach buckets to a usage-based, billing activation, or share plan add-on service.
- Price books should already exist if you want to maintain service-level price book settings.
Services Panel #
The Services panel on the left displays the available services. Selecting a service loads its details on the right so you can review or update it.
The list helps you identify each service by showing:
- Name, which is the service name
- Service Type, which identifies how the service is categorized
- an active or inactive indicator
Actions #
| Icon | Description |
|---|---|
| Deletes the selected service if not in use (configured on another entity) | |
| Adds a new service |
Edit Service Panel #
The Edit Service panel displays the selected service and is where its main configuration is maintained.
Fields #
- Name: The service name that will be used throughout product setup and account configuration.
- Active: Controls whether the service is available for new configuration. Inactive services remain available for reference on existing configuration but are not intended for new use.
- Usage Based Service: Identifies the service as a usage-based service. When enabled, the service can use usage billing settings and usage buckets.
- Description: Stores additional information about the service.
- Usage Frequency: Defines how often usage for this service is grouped for billing purposes.
- Unit: Works with Usage Frequency to define the usage billing interval, such as monthly or quarterly.
- Service Type: Determines how the service is categorized and where it can be used in product configuration.
- Default Account Service Status: Defines the default service status that is applied when this service is added to an account.
- Billing Activation: Marks the service as a billing activation service. This is used when package billing should begin only after activation criteria are met.
- Share Plan Add-On: Marks the service as a share plan add-on service so its bucket configuration can extend shared usage.
- General Ledger: Associates the service with a GL code for accounting purposes.
Important Behavior #
- A billing activation service or share plan add-on service requires at least one qualifying bucket.
- Billing activation and share plan add-on behavior are configured in ways that restrict some other service options.
- Usage billing fields are required when the service is configured as usage based.
- Some service options become fixed after the service is created.
Taxes Tab #
Use the Taxes tab to control how tax is handled for the service.
Fields #
- Tax Exempt: Prevents tax from being applied to this service.
- Service Tax Category: Identifies the service-specific tax category used for tax calculation.
- Tax Inclusive: Indicates that the configured service amount already includes tax.
Notes #
- The Service Tax Category field is disabled when the service is marked as tax exempt.
- If a tax-inclusive configuration is used, the system separates the total amount into pre-tax and tax portions during billing.
Buckets Tab #
The Buckets tab is available when the service is configured as a usage-based service, billing activation service, or share plan add-on service.
Use this tab to associate usage buckets with the service.
Add Controls #
- Usage Bucket: Search for and select one or more buckets to stage for addition.
- Add: Adds the selected bucket or buckets to the service.
Bucket List #
Each row in the list represents a bucket configured on the service.
The row can display details such as:
- Name: The bucket assigned to the service.
- the bucket recurrence or expiry model
- the refill or expiry interval shown for that bucket
- the related overage rate plan, when one exists
Notification Configuration #
Each bucket row includes an edit action for usage notifications. This is used to configure threshold-based notifications for the selected bucket.
These notifications can be used to alert users or downstream integrations when configured consumption thresholds are reached.
Bucket Behavior #
- Billing activation services and share plan add-on services require a compatible bucket configuration.
- Some bucket combinations are restricted based on whether the service is activation-based, add-on based, or uses money buckets.
- A billing activation or share plan add-on service cannot be saved without at least one qualifying bucket.
Custom Fields Tab #
The Custom Fields tab displays any custom service fields configured for your environment. Use this tab to maintain additional service-specific information that is not captured by the standard fields.
Price Book Settings Tab #
Use the Price Book Settings tab to maintain service-level settings that vary by price book and currency.
Actions #
- Add Price Book Setting: Creates a new service price book setting entry.
Price Book Setting List #
Each row in the list represents a unique price book and currency combination for the service.
The list shows:
- Price Book: The price book the setting applies to.
- Currency: The currency for the setting.
- General Ledger: The GL code assigned for that price book setting, if one is defined.
- Service Tax Category: The tax category assigned for that price book setting, if one is defined.
- a tax-inclusive indicator
A service cannot have duplicate price book and currency combinations.
