Overview #
Templates are used to control the layout and content of invoice and credit-note documents generated by LogiSense Billing. These templates are typically maintained as Microsoft Word documents that contain template variables for dynamic data such as account information, balances, invoice details, and other document content.
This screen is used to manage the template record itself, upload or download the Word document, review template metadata, and configure any related report, format, or locale settings.
Prerequisites #
Locales must already be configured in Owner Configuration before template locale settings can be fully maintained.
Templates Panel #
The Templates panel on the left lists the configured templates. Select a template to view or edit its details in the panel on the right.

Edit Template Panel #
The Edit Template panel displays the configuration for the selected template.
Core Fields #
- Name: Identifies the template.
- Active: Determines whether the template is available for use.
- Description: Stores an optional description of the template.
- Locale: Determines the primary locale used by the template.
- Type: Determines whether the template is used for invoices or credit notes.
- Hide Zero Value Invoice Item: Determines whether zero-value line items are hidden in the rendered document.
Document Section #
The document section is used to manage the Word template file and review its document metadata.
LogiSense Billing templates use a Word merge-style approach. The uploaded Microsoft Word document acts as the base template, and merge fields or template variables are used to insert dynamic values when the invoice or credit note is generated. This allows the document layout, wording, and presentation to be maintained in Word while the live account and billing data is supplied by the system at render time.
Document Actions #
- Upload: Uploads a new Word template file or replaces the current one.
- Download: Downloads the current Word template file.
- View: Opens the template-variable list so available dynamic fields can be reviewed.
Document Metadata #
- Last Modified Date: Displays when the template document was last updated.
- Last Modified By: Displays which user last updated the template document.
Reports Tab #
The Reports tab is used to attach invoice reports to the template when report data should be embedded in the rendered document.
Use Select Report to choose an available report, enter an alias for how that report data should be referenced, and then add it to the template. The attached reports list shows the reports currently associated with the template.
This tab is used for invoice templates and is not relevant in the same way for credit-note template scenarios.
Format Tab #
The Format tab controls how dates, times, and amount precision are rendered in the document.
Date And Time Formatting #
- Date: Defines the display format used for date values in the template output.
- DateTime: Defines the display format used for date-and-time values in the template output.
Currency Formatting #
- Precision: Defines how many decimal places are used when currency amounts are rendered.
Locales Tab #
The Locales tab is used to define additional locale and currency combinations that the template supports.
Use Add Locales to add new locale entries. Existing locale entries can also be edited or removed from the list.
This is useful when the same template needs to support more than one locale or currency presentation.
Guides #
Adding Templates #
- In the Templates panel, click Add.
- Enter the template details, including Name, Locale, and Type.
- Set Active and Hide Zero Value Invoice Item as needed.
- Use Upload to add the Word template document.
- If needed, configure attached reports on the Reports tab.
- If needed, configure date, time, and precision options on the Format tab.
- If needed, configure additional locale support on the Locales tab.
- Click Save.
Editing Templates #
- In the Templates panel, select the template you want to update.
- Update the template details as needed.
- Upload a revised document if the Word template file needs to change.
- Update report, format, or locale settings as needed.
- Click Save.
Deleting Templates #
- In the Templates panel, select the template you want to delete.
- Confirm that the template is not in use.
- Click Delete.
- In the confirmation dialog, click Yes.
