Service Statuses are configured in Setup / Product Catalog / Service / Service Status

Overview #

Service statuses are used to define the lifecycle states that can be applied to account services. These statuses control how a service behaves after it has been added to an account and can influence both billing behavior and how the service is managed operationally.

For example, separate statuses can be used for services that are active, suspended, pre-active, or permanently canceled. Different pricing behavior can be associated with those statuses elsewhere in the product, and transition-related charges can be configured when a service moves from one status to another.

Prerequisites #

There are no required prerequisite setup steps before creating service statuses.

Service Status Panel #

The Service Status panel on the left displays the available service statuses. Selecting a status loads its details on the right so you can review or update it.

Actions #

Edit Service Status Panel #

The Edit Service Status panel displays the selected status and is where its settings are maintained.

Fields #

  • Name: The name users will see when assigning the service status.
  • Prevent Changes: Prevents most service changes while an account service is in this status. This is useful when the service should remain in a controlled state until another action is taken.
  • Status: Determines whether the service status is treated as billable, non-billable, or canceled.

Status Values #

  • Billable: Allows recurring service charges to apply while the account service remains in this status.
  • Non-Billable: Prevents recurring service charges from applying while the account service remains in this status.
  • Canceled: Marks the service as permanently canceled. A service in the canceled status cannot return to another service status.

Only one canceled service status can exist. For that reason, the Canceled value is available only when a canceled service status has not already been created, or when you are editing the existing canceled service status.

The Prevent Changes setting cannot be changed when the selected status is the canceled status.

References Tab #

The References tab shows where the selected service status is already in use. This helps determine the impact of changing the status and whether it can be deleted.

Depending on the type of reference, the tab can show different identifying details, such as:

  • Name, when the reference is another named configuration item
  • Identity, when the reference is tied to a specific record or transaction entry
  • Status, when the reference reflects service-status-based pricing or configuration
  • Amount, when the reference includes a charge amount rather than a tiered value

This information is useful when you need to understand how broadly the service status is used before editing or deleting it.

Guides #

Adding a Service Status #

  • In the Service Status panel, click the add icon.
  • Enter the status details.
  • Select the appropriate value in Status.
  • If required, enable Prevent Changes.
  • Click Save.

Editing a Service Status #

Note: The Status value is selected when the service status is created and is not intended to be changed later.
  • In the Service Status panel, select the service status you want to update.
  • Modify the status details as needed.
  • Click Save.

Deleting a Service Status #

Note: Service statuses that are already in use cannot be deleted until they are removed from the items that reference them.
  • In the Service Status panel, select the service status you want to delete.
  • Review the References tab if you need to confirm where it is used.
  • Click the delete icon.
  • On the confirmation dialog, click Yes.
